Prepping your event before the holiday season

Everyone this time of year is preparing for the holiday season. Planning what family you are seeing, what gifts to by, days your going to be out of the office etc. Have you ever thought about preparing your event for the upcoming year ahead of time? Generally, when the new year comes around we feel bombarded by the work we have to get done and how quickly we have to do it.

Luckily, with your software you don’t have to feel rushed. You can prep it before you even start your holiday. That way when the new year arises you are ready. Prepping an event can be done in just a few steps.

Have your event site built. You don’t have to wait till the month your event is due you can have it built as far ahead as you want. This allows you to have everything built and ready. Plus, this allows you to take your time with testing the application. Let co-workers/judges test out the site as well. An additional set of eyes always helps.

Make edits and enhancements to your event. You never know what you will see when you aren’t in a rush to make those subtle changes. It’s the little things you do that can make your event go from average to great. Even take the time to set up a call with your software editor and go over changes you want to make. They may have better practices to solve any issues or frustrations from the prior year.

Set up your judges. Start email requesting your judges ahead of time. This allows you to get a variety of judges to choose from. Even giving you a list of replacement judges. This will create less stress in future months when last minute drop outs come up.

Prep templates of the emails you will be sending to the applicants, judges, staff etc. If you have multiple judging rounds, applicant rounds/phases. Prep all the different instructions, emails and save it all in a folder. That way your job for that day is a simple copy and paste. What makes this even more beneficial you can use this saved template folder for next year.

The definition of preparation is “the action or process of making ready or being made ready for use or consideration.” Why wait, when you can prep and have a calm easy event for next year.
